Admissions and Communications Coordinator              Seattle, WA  

Full Time - salary based on experience

The Bush School is seeking an Admissions and Communications Coordinator to join the school’s admissions team in a position that supports and coordinates daily operations, programs, events, and recruitment and enrollment activities for a K-12 program. This position is responsible for all aspects of database management for K-12 admissions and financial aid program and provides direct administrative support to the Director of Enrollment Management and Communications (DOEMC) for a range of admissions and communications projects.

This is a salaried/non-exempt position that reports to the DOEMC. The DOEMC supervises and sets priorities, timelines, and project deadlines for the Admissions and Communications Coordinator. Candidates must be supportive of the school’s mission of diversity and inclusion and have a background that displays and proves an understanding of intercultural fluency.

Key responsibilities and tasks include:

Daily Operations and Database Management

  • Coordinate operations for Office of Admissions and Financial Aid providing daily technical, logistical, and administrative support through each stage of the application process from recruitment to processing applications to supporting admissions committees to enrollment;

  • Responsible for all aspects for database management that support the admissions and financial aid application process and K-12 re-enrollment; Capture data to generate reports;

  • Update and maintain online applications; support students, families, teachers, and staff through the admissions and financial aid application process from inquiry to applicant to enrolled; Assists applicant families with submission of required admissions documents;

  • Responds to phone and email inquiries from prospective and applicant families; Provide holistic support for students and families from communities that have been traditionally underrepresented in independent schools.

K-12 Admissions Events

  • Plan and provide logistical support for all K-12 recruitment and admissions events including open houses, student visits, campus tours, school fairs, on-site testing, admissions committee meetings, and accepted and new family admissions events;

  • Coordinate and maintain applicant event registration through Ravenna; Implement internal logistics including catering, room reservation/set-up, and calendar;

  • Required attendance at 2018-2019 Open Houses. Dates include:

  • Middle School Open House: Wednesday, October 24 from 6:00-8:30 p.m.

  • Upper School Open House: Wednesday, November 7 from 6:00-8:30 p.m.

  • Lower School Open House: Saturday, December 8 from 10:00-11:30 a.m.

Communications Support

  • Provide administrative support to DOEMC for a range of communications projects throughout the school year and summer including publications, bulletins, and various internal and external marketing efforts.

  • Bachelor’s degree required;

  • Customer service orientation and strong interpersonal skills that are conducive to working with a highly collaborative team, promote the school to prospective families, and support institutional cohesion;

  • Strong work ethic, organized, and attention to detail;

  • Ability to multitask and manage deadlines;

  • Punctuality and timeliness;

  • Experience working with databases; Knowledge of databases (Blackbaud), application platforms (SSSbyNAIS, Ravenna), and email communication platforms (MailChimp) a plus;

  • Fluency in Google Docs and Microsoft Office (Word, Excel, PowerPoint);

  • Spanish fluency in speaking, reading, and writing a plus;

  • Willingness to assume additional responsibilities as required.

The typical daily work schedule is 7:30 a.m. – 4:00 p.m. Candidate must also be flexible to work evenings and weekends as needed throughout the year, specifically during “high season” from October-April.
