Reporting to the Associate Director, Advancement, the Advancement Database Manager assists in the administration of fundraising activities, is responsible for timely gift processing and acknowledgements, produces weekly and monthly advancement reports, and is responsible for accuracy and integrity of data within the Advancement database (Raiser's’ Edge). York House School is seeking a dynamic, self-starter to work with the Advancement team in an Administrative capacity.
The ideal candidate will possess strong technology skills as the database management requires a level of understanding and agility to transform data between software interfaces. Reporting will include data extrapolation, manipulation and data mining for a variety of purposes. Correspond with Communications and Technology departments regarding any changes/problems or updates regarding Raiser's’ Edge database management and upkeep including:
- Alumnae and donor files updates changes
- Update/Produce queries and reports as needed for a variety of purposes
Fundraising Administrative Responsibilities
- Create, maintain and update constituent records on an ongoing basis (parents, alumnae, grandparents, friends, and staff) in Raiser’s Edge database
- Process all donations ensuring that each is appropriately and promptly received, recorded and receipted
- Responsible for 1-week (maximum) turnaround on gift processing and acknowledgements including regular advancement reporting, all batch preparation, commitment, filing, coding and receipting, AND, ensures acknowledgement letters, including Annual Fund, Major Gifts, Gift Planning, Special Appeals, and Donor Stewardship Reports are kept up-to-date and relevant
- Prepare tax receipts and acknowledgement letters
- Prepare and mail pledge reminders on a monthly basis
- Generate monthly advancement reports on the status of the Capital Campaigns, Annual Giving Program and the York House School Foundation
- Data mining and research as needed for various purposes
- Assist with the delivery of a comprehensive donor and volunteer recognition program
- Review and keep up to date policy and procedures for database management
- Assist staff in compiling and preparing reports to obtain information to support advancement and for various other uses and purposes as needed within the school
- Generate volunteer and alumnae lists as needed and captures important information regarding volunteers & alumnae
- Provide administrative support for various Advancement events throughout the school year
- Provide financial reports in support of Advancement and the Finance Office as needed
- Assist with mailing of Annual Fund campaign as needed
- Provide Raiser’s Edge training to YHS staff as required
- Respond to and assists with all Advancement inquiries
- Work with parent volunteers and alumnae members to help build positive relationships within the school community
- Work with various departments throughout the organization to ensure that all data is accurate from one system to another
- Parents' Association support and other staff and departments as requested
- Participate in committees as requested or needed by the School
- Contribute to the coordination of information that will be used in various Advancement and other School publications
- Provide administrative support to the Director of Human Resources as required for contract management
- Attend occasional evening and weekend Advancement activities and events

Qualifications
- Previous experience in an independent school environment is preferred
- Background in customer service, hospitality or other events related work is an asset
- Completion of post-secondary education (degree, diploma, certificate required)
- 3-5 years previous administrative experience
- Previous experience in software implementation an asset
- Computer Literacy required:
- Advanced knowledge of Blackbaud Raiser’s Edge and familiarity with Blackbaud’s On products
- Intermediate to advanced ability working with database management or Information Systems, and/or familiarity with Crystal Reports is an asset
- Intermediate to advanced skills in Microsoft Office Suite (MS Word, Excel, PowerPoint) as well as proficiency with Mac, Google docs and Gmail, particularly advanced skills in using spreadsheets
- Demonstrated experience conducting mail merges is required
- Demonstrated contact management/database experience
- Stays abreast of software updates
A criminal record and vulnerable sector check is a requirement.
