Primary Responsibility: Deepen Hamlin’s relationship with current parents, alumnae, parents of alumnae, grandparents, employees, and friends by creating effective communication, providing support for events, and maintaining accurate records of giving.
 
Regular Work Schedule: Full-time: 12 month

Duties/Responsibilities
 
Communications:
  • Create and produce all communications for parents, grandparents, parents of alumnae, employees and friends, including the weekly electronic parent newsletter (The Hamlin NOW), Hamlin community email blasts, solicitations for the Annual Fund, and the Hamlin Annual Report 
  • Under the guidance of the Director of Alumnae Engagement, design and produce print materials for alumnae events and communications 
  • Regularly capture moments of school life throughout the year and maintain an organized and well documented photography archive 
Database:
  • Maintain clear and accurate records of constituent giving, analyze participation rates and funds raised, and compile benchmarking information for comparisons with peer schools
  • Create and distribute accurate financial reports and run data queries to support the activities of the Advancement Office and the Business Office
  • Develop and document clear policies and procedures for records management in the Advancement Office setting standards for data entry, record keeping, and format of demographic information
  • Foster relationship and develop clear communication with Hamlin’s Business Office to ensure adherence to audit standards and periodic financial reconciliation 
Events:
  • Under the direction of the Director of Events, support the events of the Hamlin Parents’ Association and The Hamlin School through projects including (but not limited to) creating electronic communications, designing and coordinating production of all printed materials, supporting volunteers, and managing the annual online auction
  • Serve as on-site partner to the Director of Events and Director of Alumnae Engagement for all Hamlin community, alumnae, and fundraising events
Teamwork:
  • As a member of the Advancement Team, foster and strengthen relationships with constituents
  • Perform other duties consistent with the above responsibilities and in conjunction with the overall goals of the Advancement Office
 
Required Skills, Knowledge and Abilities
  • 2-3 years of progressive experience in communications and advancement with a track record of success
  • Bachelor’s degree
  • Deep appreciation for the mission of The Hamlin School and knowledge of independent schools
  • Excellent verbal and written communication skills and experience conceptualizing, writing, and coordinating advancement materials
  • Strong analytical skills and propensity for mathematics
  • Superb organization and administrative skills, including working knowledge of Word, Excel, and PowerPoint and the ability to juggle long-range strategic planning while prioritizing and completing multiple tasks simultaneously 
  • Experience with The Raiser’s Edge required
  • Knowledge of InDesign, Publisher or other design software strongly preferred or ability and willingness to learn required
  • An outgoing personality and positive attitude
  • Ability to work both independently and within a team-oriented environment
  • Evening and weekend hours are required
