Coordinator, Data Management and Reporting
Duties & Responsibilities
HGSE seeks a motivated, creative, collaborative and results-oriented self-starter to join its Development and Alumni Relations (DAR) team as a member of the two-person DAR Operations team. The Data Management and Reporting Coordinator is responsible for providing accurate and timely gift terms, pledge reminders, data extracts, and reports, as well as responses to staff data requests. The Coordinator will develop and maintain processes and business practices that support all DAR operations, including major gifts, annual fund, stewardship, alumni relations and events. The Coordinator works closely with colleagues throughout DAR as well as in the University Development Office and Alumni Affairs and Development (AAD)
Specific duties and responsibilities may include, but are not limited to:

Manage gift processing, including drafting gift terms and agreements in coordination with gift officers and University procedures

Track pledge payment schedules and produce timely reminders

Perform basic data extracts/produce reports, including
-
The Weekly Detail List of Gifts and spreadsheet for acknowledgment process

Mailing lists for Holiday cards, Ed Magazine, Annual Fund appeals
-
General management of various donor lists/reporting
-
Giving history for donor/prospect briefings
-
Active & Projected solicitations, Dean prospect updates, etc.

Manage all gift inquiries/issues, problem solving

Update and maintain Advance records, including
-
Committee memberships
-

Major Gift portfolio updates (i.e. tracking of proposals, stages, lead tasks)

Produce routine and ad hoc analyses to support planning, measurement of outcomes, and evaluation of alternative strategies, especially for annual fund solicitations

Produce fundraising and pipeline metrics

Coordinate local user accounts and user support for University AAD-provided Development software and tools, including:

Initiating, terminating, and regularly auditing account activations and deactivations

Maintaining role-appropriate access rights and enrollment in corresponding trainings

Addressing and resolving user questions and concerns locally when feasible, forwarding to AAD Tech centrally where needed

Providing ad hoc training on reporting tools and GSE data standards

Perform various types of cross-checking, QA, and troubleshooting to ensure data integrity

Liaison to HGSE Finance Office and Harvard’s Alumni and Development Services department

Represent HGSE at appropriate University-wide meetings
Basic Qualifications
Minimum 2 years directly related experience with data operations to support business processes, ideally in a development context; experience working with databases required.

Additional Qualifications
Bachelor's degree strongly preferred. The position requires collaboration skills, operational skills, discretion, and professionalism. We are looking for someone who exhibits impeccable attention to detail and excellent organizational skills, who can multi-task, clearly communicate, and document processes. Must be a self-starter who is motivated to learn, and adaptable to changing needs and priorities. Ability to translate end-user needs and requests into workable and efficient business practices and definitions, and to communicate effectively and responsively to busy fundraising professionals. Must be an effective problem solver and resourceful. Familiarity with development in academic institutions and experience in Harvard University helpful. Experience working with Microsoft office suite and Windows. Experience working with the Advance database system, QlikView data applications, and SQL preferred.
