A leader among independent schools, Appleby College delivers an outstanding education to its 750 boarding and day students in Grades 7 to 12 located in Oakville, Ontario. Appleby’s mission is to educate and enable young men and women to become leaders of character, major contributors to, and valued representatives of their local, national and international communities.
Under the direction of the Director of Development, the coordinator is responsible for supporting the fundraising team in the advancement department. This will include working with the database, basic research and updating reports, gift processing, general administrative support and preparing solicitation materials.
Specific Accountabilities:
· Work effectively with Raiser’s Edge and liaise with the IT Department and Business Office to ensure ongoing data management, gift processing, thank you and reporting processes are input accurately and maintained.
· Monitor the donor database record management, including record updates, gift entry, basic reporting and queries.
· Adhere to accurate and timely responses to all donations and subsequent transfer to Business Office.
· Respond in a timely and professional manner to enquiries and concerns from donors and volunteers.
· Work with Marketing & Communication to manage segmented mailings electronically and manage the processes associated with direct mail campaigns.
· Manage stewardship and major gift event RSVP through invitation lists, set up mailings for Major Gifts, as well as track RSVPs and all administrative elements
· Provide reporting needs via Raisers Edge and Education Edge
· Support the Annual Fund strategy and solicitations through mailings and admin support
· Provide administrative support to the external relations cross functional team
· Maintain the major gift pipeline updates and moves management in the Prospect Module
· Collaborate in updating Advancement Committee Reports
· Manage department office supplies and sourcing for special projects and solicitations
· Prepare travel briefing documents and constituent briefing documents for all solicitors
· Oversee the Advancement Department Shared drive and provide technical support when required
· Maintain Advancement webpage, communication and promotional materials as required
Knowledge, Skills & Technical Ability:
· Post-secondary education in related field required
· Minimum of 1-3 years previous administrative support experience an asset
· Experience in Major Gift and campaign support an asset
· Working knowledge of the Microsoft Office Suite: Word, Excel, Power Point, Outlook, Office 365, Adobe Creative Suite
· Experience with Raiser’s Edge and Education Edge
· Previous nonprofit and independent school experience an asset
Workplace Requirements:

· May required lifting and manual set up for events from time to time
· Occasional evening and weekend work
