Database Administrator and Information Officer
St John’s College is an Anglican school situated on an historic campus in Houghton, Johannesburg, offering quality education from Nursery School to Sixth Form. The school has an outstanding academic record and has a fine reputation in sport, music, drama and debating.
The main responsibilities of this role are to manage and maintain the smooth operation of the school information system and database, maintain student reporting systems, complete government submissions, create all IEB on-line entries, and fulfill the duties of Information Officer for the school.
Key Accountabilities:

In the first year, to assist in converting the school information system from Pencilbox to iSAMS with minimum disruption.

To become an expert in using iSAMS (training will be made available)

Manage and maintain the school information system and liaise with the IT department and the external provider when necessary

Ensure backups are taken and verified as valid
-
Set up and manage user accounts and permissions
-
Ensure security of the system
-
Set up and maintain new modules or reporting systems when required
-
Provide training to staff on using the school information system as required
-
Provide support for all users of the school information system
-
Capture data as required
-
Assist with the setup and maintenance of the school timetable in iSAMS
-
Set up subjects, teachers and classes for the smooth start to an academic year
-
Maintain subject, teacher and class information
-
Provide and maintain appropriate documentation
-
Ensure the data required for LURITS is correct and up to date
-
Complete the 10 day and quarterly Government submissions
-
Meet with the academic deputies when necessary

Configure student report cards as required
-
Oversee report generation and archiving
-
Provide specific reports as requested
-
Ensure a smooth termly and annual roll-over
-
Capture final matric results in the school information system
-
Export relevant data to the alumni database
-
Complete IEB on-line entries of students for a range of assessments

As Information Officer, monitor and implement the Codes of Conduct issued by the Information Regulator, and ensure that the school complies with the requirements of processing personal information in terms of the provisions of POPI
Experience:

In-depth knowledge and successful track record of managing student data is essential

Previous experience of using iSAMS or another school information system would be an advantage
-
An understanding of and/or experience of working in a pre-school to post-matric educational organisation is highly desirable
Competencies:

Excellent knowledge of databases

Excellent knowledge of Excel, Google G-Suite and any other relevant software

Ability to communicate concisely in written and spoken English to experts and non-specialists alike

Can present and analyse data accurately and efficiently

Ability to work individually as well as part of a team and to work closely with both IT colleagues and academic staff

Flexibility and willingness to work outside of core hours during upgrades or critical times

Knowledge of the data requirements as required by a school and relevant reporting authorities is an asset

A degree or an equivalent recognised qualification in IT or related field would be advantageous
