Database and Campaign Services Manager
The Database and Campaign Services Manager reports to the Director of Development, a senior member of the Advancement team. The Manager is responsible for overseeing all aspects of the Advancement department’s database system and support. In addition to being savvy and efficient, the Manager will be a creative thinker who thrives when finding ways to use technology through innovative approaches to support the school community. As a member of a nine-member Advancement team, the Manager is integral to the overall success of the department by maintaining, developing and leveraging constituent data and reporting on fundraising results for more than a 100-year-old institution. The successful candidate will be an enthusiastic team member who is organized, has high attention to detail, a positive attitude and a resourceful nature that results in the successful completion of a variety of tasks.
Essential Duties and Responsibilities
Organize, manage and maintain all internal information and data systems, including the following:
- Establish automated and analytical systems and practices that create efficiency, accuracy and long-lasting data records of prospect activity, gift/pledge commitments and other philanthropy and engagement information.
- Provide database administration and support for all fundraising, event and alumni relations systems.
- Maintain data with accuracy and thoroughness and perform data entry across all systems; return mail NCOA processing, address updates and email address updates.
- Audit data on a timely basis for errors and inconsistencies.
- Process gift and transmittal receipts, acknowledgment letters and gift related documentation.
- Provide standard and custom reporting for the annual fund, annual benefit, campaign, endowment, planned giving and other restricted giving, including batch reporting, month end reporting, and ad hoc reporting.
- Design and support special information and data projects, including those that require special technology platforms.
- Administer and support annual appeals, Board of Trustees lists, pledge reminders, annual rollover and governance database.
- Facilitate monthly and annual financial auditing between Advancement and Business Office.
- Provide end-user technical support and training to development colleagues for Raiser’s Edge and advise on technology issues with an eye toward creating self-sufficiency.
- Provide lead support for all fundraising and alumni relations related platforms to ensure efficiency within the office. Adapt to new programs when applicable.
- Maintain positive working relationships with outside vendors.
- Provide end-user technical support to the school community as needed.
- Maintain Policy and Procedures manual.
Support annual and capital solicitations and outreach by assisting with the following:
- Provide datasets and support to all department members for major outreach, including segmented mailings and email campaigns.
- Identify and qualify prospects for leadership annual and major gift potential.
- Exercise independent and experienced research qualified judgment as to capacity and inclination.
- Track and report on prospect activity on a monthly basis re: major gift activity by staff and key volunteers.
- Devise a system to migrate valuable student/alumni information to Raiser’s Edge by working with key internal administrators.
- Manage Campaign attribute and proposal data management processes.

Qualifications and Experience:
- Possess a minimum of a bachelor’s degree
- 3+ years of experience with Raiser’s Edge or similar database management software
- A minimum of 3 years of experience in a high functioning environment with deep collaboration and great attention to detail
- A proven record working collaboratively with a team
- Demonstrated ability to learn quickly and willingness to take direction and collaborate with others
- Excellent written and oral communication skills
- Commitment to excellence and best practices
- Proficiency with Microsoft Office, Raiser’s Edge, Finalsite or similar tool
- Strong attention to detail and organizational skills
- Ability to work independently and as part of a team
- Ability to problem-solve and think creatively
- Demonstrates initiative and flexibility with long and short-term responsibilities
- Strong interpersonal skills that would bring value to the Advancement department and the School’s relationships with donors and other Castilleja constituents

- Ability to multi-task effectively under a complex schedule of deadlines with great attention to detail.
- Experience with, or understanding of, the culture of independent schools
- Ability to pass state and federal fingerprinting and background check and provide a recent negative TB test
The position is 12 months and non-exempt. It requires occasional weekend and evening work as well as limited local and national travel.

Castilleja pays competitively and commensurate with experience.
