Database and Office Manager
The Database and Office Manager is responsible for the overall administration and integrity of the Raiser’s Edge database as well as administrative support for most advancement office initiatives. The Database Manager collaborates frequently with and provides support to all members of the advancement staff.
Responsibilities:
- Manage Raiser’s Edge database to ensure accurate, thorough records of all constituencies
- Update and edit constituency status and enrollment data as needed
- Prepare donor profiles and development reports as needed
- Prospect research on new families
- Manage Annual Report donor listings
- Document protocols for all database activity
- Prepare mailing lists and coordinate all print and digital mailings
- Prepare weekly financial reports
- Reconcile against Registrar’s Database
- Reconcile alumni database against Raiser’s Edge database
- Confirm alumni applicants to database and import/update records as needed
- Manage all gift entry, tracking, reporting, and acknowledgment in timely and accurate fashion
- Process credit card transactions as requested by donors
- Reconcile with staff on Annual Fund, Spring Benefit, and Capital income
- Track and follow up on all matching gift submissions
- Reconcile revenues and brokerage accounts with the bookkeeper, and prepare audit reports as needed
- Inventory and order supplies/materials as needed
- Provide support as needed to all advancement staff for events, communications, and other projects
Qualifications:
The individual we seek must be highly organized and detail oriented, able to multi-task and a team player. Demonstrated ability to work under pressure and to meet deadlines is essential. Must be able to work independently and collaboratively. Approximately 20 night events required. Approximately four Saturdays. Approximately 9 am – 6:30 pm regular work hours, as needed to meet deadlines and complete tasks/assignments. Some early morning meetings required. Candidates must be familiar with Microsoft Word, Excel and PowerPoint programs. Three (3) to five (5) years of relevant experience and/or proficiency with Raiser’s Edge database preferred. Bachelor’s degree required.
