Database Coordinator
Norwood has an opening for an experienced database coordinator beginning July 1, 2018. The ideal candidate will have independent school experience, be a team player, demonstrate an ability to take initiative, work independently and collaboratively, organize and prioritize in order to meet deadlines, as well as multi-task on a regular basis. In addition, this person will have the capacity to maintain confidentiality and to communicate clearly and effectively, orally and in writing, and have mastery of Blackbaud Raiser’s Edge and working knowledge of RE NXT. A sense of professionalism and humor in dealing with donors, volunteers, and colleagues as well as demonstrated passion for independent education in general will define the strongest candidate.
The database coordinator’s primary responsibility is to maintain the integrity of the Development Office’s Raiser’s Edge system, support The Norwood Fund and comprehensive campaign, and assist with Development Office logistics. The position reports to the director of development.
The following are examples of the database coordinator duties.
Database Management and Reporting:
- Maintain all constituent records in Raiser’s Edge, including the management of the relationships between constituents, actions, notes, appeals, education and business information and entry of information regarding constituent involvement in School activities
- Enter all new family constituent records
- Regularly audit Raiser’s Edge for data entry consistency; clean-up records, as required
- Process returned mail and email messages; update database records
- Run all lists associated with the Annual Report and assist in the review process
- Support constituent mailings for publications, solicitations, and invitations, including generating mail merged letters, envelopes, mailing labels and preparing segmented constituent lists
- Scan select old physical files into constituent RE records [media tab]
- Provide support and training to all Raiser’s Edge and RE NXT users within the Development Office
- Run other reports, as assigned
Donor Relations:
- Enter all gifts received (checks, credit cards, stock transfers) and generate prompt acknowledgment letters to donors; maintain copies of all gifts received
- Prepare checks for deposit, deliver to the Business Office, and work with Business Office on monthly gift reconciliation and related reports
- Generate reports for the annual audit, as needed
- Process pledge reminders to donors at least three times a year (December, April, May-June)
- Maintain strict adherence to appropriate confidentiality when handling data and constituent information
Special Events/Programs:
- Support the planning and organization of Norwood events, including those related to The Norwood Fund, Auction, Parents Association, alumni relations and the comprehensive campaign
General Development Activity:
- Maintain professional and technical knowledge by attending relevant workshops, reviewing professional publications, and establishing personal networks
- Keep inventory and order annual stationery suite for the Development Office
- Create “in memoriam” cards for the Head’s Office
- Assist in processing photo cards related to Kindergarten Halloween program and other special events
- Coordinate with Head’s Office and Communications on production and mailing of Norwood holiday cards
- Provide primary support for all appeal mailings, including mail merges, stuffing and mailing envelopes
- Assist all members of the Development Office as needed with support tasks and other projects
- Other duties as assigned
This part-time role is 50% FTE, approximately 20 hours per week, and carried out over four or five weekdays at school. The database coordinator is eligible Norwood’s benefits package.
