Database Manager
Reports to: The Director of Advancement and Enrollment Management

Established in 1920, Bentley School is a K-12 co-educational, independent day school located on two campuses in Oakland (K-8) and Lafayette (9-12), California. The Database Manager holds a vital role at Bentley School, whose responsibilities underpin Bentley’s ability to welcome and steward both prospective and current members of this vibrant educational community while simultaneously advancing the mission and promise of the school. Based on Bentley’s Lafayette campus, this individual will possess a comprehensive knowledge of key systems used in advancement work within independent schools, such as Raiser’s Edge databases, and a track record for attaining quick proficiency in other technology systems. Reporting to the Director of Advancement and Enrollment Management, this individual will also serve as an integral member of the admissions team, maintaining admissions/enrollment databases (e.g., Ravenna Solutions and TADS) and streamlining inquiries from prospective family through enrollment, and finally to donor.
Primary areas of responsibility include:

Managing all databases used in the advancement and enrollment management office, including Raiser’s Edge databases, Blackbaud K-12, Ravenna, and TADS.

Processing all gifts received; ensuring data is entered consistently, accurately, and in accordance with IRS guidelines and non-profit industry standards and school’s policies

Accurately and efficiently producing gift receipts and acknowledgments; oversee the production of pledge reminders

Overseeing data stewardship across the advancement and admissions offices, including maintaining the integrity and security of all databases; training staff as necessary on appropriate database usage

Maintaining and updating records for the admissions office, including coordinating communication with prospective families and updating admissions records

Assisting the Admissions and Business Offices with the re-enrollment process in February by coordinating contracts and letters

Overseeing the annual process of refreshing the online admissions application (Ravenna) and inquiry form and working closely with the Director of Admissions to ensure that the Bentley website is updated

Collaborating with the Registrar on implementing policies and procedures for a smooth transition of data at admissions, withdrawal, and graduation

Maintaining an adequate inventory of all advancement and admissions stationery and brochures

Taking on new projects as needed and assigned by the Director of Advancement and Enrollment Management
Qualifications

4-year degree required

Desire to work in an independent school setting; experience with Blackbaud K-12 products highly desired

Fluency in Microsoft Office programs, especially with Excel, and comfort with Google Suite products

Stellar organizational skills, willingness to take initiative, and innate desire to learn new systems quickly

A collaborative approach to solving problems, including strong, professional communication skills (written and spoken)

Ability to maintain confidentiality and discretion to protect sensitive information

An individual who welcomes feedback as an essential tool for professional growth

Experience with fundraising databases a plus
