POSITION OVERVIEW


The position of Development Database Manager is integral to the success of Westminster’s Office for Institutional Advancement (OIA). The Development Database Manager is responsible for maintaining and maximizing an effective infrastructure to support gift processing, donor acknowledgements, event tracking, alumni relations, prospect management and database needs of the office. This key team member will primarily utilize The Raiser’s Edge (RE), a complex relational database, as well as other systems and applications to ensure the ongoing completeness, quality, and relevance of RE. Reporting to the Director of Advancement Services and collaborating with all teams within OIA, the Development Database Manager will be proactively engaged in work and projects that impact internal and external constituents.

Position Status:  Salaried, non-exempt, full-time, regular, 12-month

Hours of Work:  Monday through Friday and the core hours are 8:00 a.m. to 4:30 p.m.  Evening and weekend work is required.

 

ESSENTIAL RESPONSIBILITIES


The Development Database Manager will:

  • Maintain and improve information of constituent records (individuals and organizations) as well as safeguard current data quality and integrity standards.

  • Extract and report accurate and relevant data from RE including creating queries, exports, and reports in support of the Advancement team’s fundraising, stewardship, and alumni/parent engagement efforts.

  • Manage ongoing data requests, including providing data for routine projects such as mailing lists, progress reports, solicitations, pledge reminders, etc.

  • Proactively and continuously improve the quality of alumni and donor data by utilizing a variety of resources and references to ensure quality results, identifying and evaluating inaccuracies and redundancies, etc.

  • Manage data hygiene efforts including audits, cleanup projects, and routine data entry for projects such as new parent entry, targeted asks, and wealth screenings.

  • Implement and maintain database policies and procedures. Help maintain documentation of established policy and procedures and recommend improvements and efficiencies.

  • Manages annual database transitions to prepare for the upcoming fundraising year.

  • Oversee and manage the input of new hires, departures and student withdrawals into the database as well as applying all appropriate attributes and constituent

  • Coordinate and problem solve with the Business Office to reconcile gift data and ensure that it is properly coded and balances each month and at year end and act as the primary contact for all database related matters.

  • In collaboration with the Director of Advancement Services, support the development of annual benchmarking surveys related to OIA, including INDEX, VSE, and NAIS.

  • Provide back-up for gift entry particularly during high volume times such as end of calendar year, end of fiscal year, and during giving challenges.

  • Troubleshoot complex database issues in accurate and timely manner.

  • Respond to data needs of vendors and consultants including Evertrue and ResearchPoint.

  • Assist the Director of Advancement Services in ad hoc data requests and process management.

  • Other duties as assigned by the Director of Advancement Services and the Director of Advancement Operations.

REQUIREMENTS AND QUALIFICATIONS


  • Bachelor’s degree required.

  • At least two to five years of experience in a non-profit or education environment, preferably in a position supporting team members.

  • Excellent information technology skills with aptitude to learn and effectively utilize tools at a ‘power user’ level. Experience with a relational database such as The Raiser’s Edge preferred.

  • Impeccable attention to detail, accuracy, and quality of work product.

  • Polished communication skills with an emphasis on clear and effective customer interactions; ability to communicate effectively with a variety of constituencies.

  • Self-starter with ability to work independently and take initiative to meet deadlines in a creative, fast-paced environment.

  • Demonstrated ability to work as an effective team member, manage multiple projects and priorities, to respond effectively to change, and to manage demanding work situations and deadlines.

  • Commitment to the mission of The Westminster Schools and willing to serve as an ambassador for the School both internally and externally.

 

PHYSICAL DEMANDS AND WORK ENVIRONMENT


While performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out; and smell. The employee may occasionally lift or move up to 20 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
