Information System Administrator
Reports to: Controller
Position Purpose: Configuration and maintenance of all information systems while providing support to all school departments for essential functions, reports, and objectives as well as support to the community in both access to school online resources and communications.
Information System Administrator:

Oversee and coordinate regular functions of the student information system (Senior Systems) such as enrollment, admissions, tuition assistance, etc. throughout the year.

Maintain the integrity of the data in the student information system (SIS) through periodic upkeep of data.

Create user accounts and manage permissions for employee level users as well as community members.

Generate notifications for new account holders as well as troubleshoot login and access issues with current account holders.

Resolve procedural issues with training and documentation for users.

Facilitate the use of the data by user groups through queries, report creation, and exports.

Create a schedule to communicate regularly with user groups to understand issues in their workflow or in the data as well as keep in front of upcoming major projects.

Address issues as possible within the SIS with an understanding of budgetary and personnel limitations.

Communicate resolution of any issues with the user group.

Educate others to create and send broadcast emails as requested as well as being able to generate broadcast emails on short notice when required.

Respond to all issues, email and telephone, both internal and external, by the next business day (same business day what as possible).

Implement and act as project manager for new databases and new functionalities as they become available to the school and will improve user experience.

Serve as a backup to the Accounts Receivable and Billing Manager.

Act as a liaison between all school databases and facilitate their integrations.

Monitor application usage to minimize downtime and ensure applications are available when needed.

Prepare written materials for the purpose of documenting activities.

Serve as a technical resource regarding active or planned projects.

Generate and maintain relationships with vendors and support end users for all related job functions.

Act as a back-up to the Communications department for website maintenance and updates.

Perform other duties assigned.

Support the school and its leadership.
Tuition Assistance:
-
Assist with Tuition Assistance (TA) process including coordination of appointments, pulling reports and information from SSS portal and preparing reports for committee meetings.

Maintain overall TA spreadsheet, Board reports, and update budget status.

Manage TA portal in Senior Systems, run reports, perform internal audits, and enter related data into the system (manually).

Communicate with new and current parents about TA, including upcoming deadlines and missing information.

Communicate with a translator to assist bilingual families with entering their information into the system.
-
Enter awards into TA portal, send contracts and award letters for new and returning families.
-
Create a schedule for the TA season, manage deadlines to ensure all families are covered for assistance.

Send mass emails to returning families of approaching deadlines or missing information.

Serve as liaison between the offices of Advancement, the Business Office, Admissions and Senior Systems in relation to the TA module.
Data Analysis and Visualization:

Trend analysis

Various faculty/student/parent surveys

Financial analysis for the leadership team and Board of Trustees

Create visualization for interpretation of statistical data
Qualifications:
-
Bachelor degree
-
At least 3 years’ experience with student information systems, with a preference for systems such as Senior Systems, Blackbaud, or Veracross.

Ability to handle multiple projects concurrently while supporting user groups of variable levels of access and technical knowledge.

Strong problem solving and verbal/written communications skills

General understanding of information systems and concepts such as query and reporting

Proficiency in a variety of technology standards, including, but not limited to, the Microsoft and Google ecosystems

Proficiency in spreadsheet formulas in either Excel or Google Sheets

Proficiency in producing graphs of data
Physical Requirements and Work Environment:

Work in a highly stressful environment dealing with a wide variety of challenges, deadlines, and a diverse array of contacts

Work at a desk and computer for extended periods of time
-
Be able to occasionally lift up to 30 lbs.

Work in a traditional climate-controlled office environment

Work on-site at the GSES campus

Works intermittently in outside weather conditions, including extreme heat and cold.
