Job Description

Under the direction and supervision of the Senior Director of Projects, the Information Technology Project Manager manages a portfolio of technology projects for the University. This position is responsible for all aspects of technology project from planning initiatives to management of each project to include strategy, budget, coordination, facilitation, monitoring, communication and documentation. The IT Project Manager has the ability to manage multiple technology projects concurrently by exercising effective time-management and collaborative skills in a team-oriented environment. This position works closely with the Chief Information Officer as well as the IT Director to ensure the delivery of each technology project is within assigned timeline and scope.

Job Duties

1. Manage a growing portfolio of technology projects each fiscal year. 
1.1. Collaborate with the CIO and IT Director in identifying the list of projects to be managed. The nature of each project varies (hardware deployments, software implementations, cloud service applications, etc.) and all support institutional goals and objectives and represent six-figure investments for the University every fiscal year.
1.2. Time management skills for both the projects and daily workload to ensure all projects are delivered on time, within budget, and daily tasks are completed on schedule
1.3. Create specific strategies for simple and effective execution of various types of IT projects

2. Serve as the first point of contact for all information technology project management communications, track key project milestones, help produce proposals, plans, and reports under the direction of the Senior Director of Projects
2.1. Clearly communicate information technology project information determining the preferred method, frequency, and times of communication by the stakeholders to ensure that communications are efficient and timely
2.2. Assist with all information technology project setup and maintenance of project records (including subcontractor attachments, project logs, and assorted templates).
2.3. Create presentations and communication materials that support the project’s objectives. 
2.4. Work with a variety of constituents including: faculty, staff and students.

3. Leadership and problem solving skills with the ability to organize, set priorities, take initiative, and exercise sound independent judgment within areas of responsibility.
3.1. When the Senior Director of Projects is unavailable, the ability to evaluate situations and determine the proper course of action with respect to information technology best practices, policies, and procedures
3.2. Adaptability to handle the many unknowns, setbacks, misunderstandings, and objectives that may change throughout the life of the project.
3.3. Ensure project team members comply with company methodologies and project principles, policies and procedures

4. Adept at creating project plans and manage project budgets and timelines as well as spreadsheets, word-processing, math and accounting skills. Work with the University Accounting department to ensure accuracy of payments and change orders
4.1. Compose correspondence from brief instructions, maintain project files, implement process improvements, check for errors to achieve project expected outcome
4.2. Assist the Senior Director of Projects by participating in the budget processes, preparing major reports and special presentations, and handling a variety of confidential documents on a day-to- day basis.
4.3. Draft project budget on a monthly basis and ensure that it meets all necessary protocols
4.4. Monitor and maintain an on-going budget tracking system of expenses for all information technology projects.

5. Provide onsite campus support for Touro University and College System (TCUS) initiatives to improve collaborative involvement in University system-wide projects and adopt TCUS project management tools and methodologies to those projects.

6. Intermediate between the Chief Information Officer and the Senior Director of Projects to provide a smooth flow of project communication and execution

7. Research new equipment purchases and collaborate with the Chief Information Officer to provide recommendations for consideration.
7.1. Draft project proposal ideas and present them to the Senior Director of Projects for approval

8. Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; and bench marking state-of-the-art practices.

Required Qualifications
  • Bachelor’s Degree in Information Technology or related field 

  • 3 to 5 years information technology project management experience

Preferred Qualifications
  • Project Management methodologies and best practices training

  • PMP certification preferred 

  • Experience managing information technology projects in higher education preferred

  • Ability to work effectively in a team, as a team member, and team leader, when appropriate

  • Comprehend, analyze, and interpret complex business documents

  • Write requests for proposals and reports

  • Develop executive summaries, project charters, project plans, schedules, budgets, and (project close out documents)

  • Excellent interpersonal skills with ability to exercise tact and diplomacy with diverse personalities in a variety of situations

  • Highly developed skills to work in a fast paced project management office

  • Strong organizational skills with attention to detail

  • Ability to establish priorities in an executive setting, problem-solve and multi-task in a busy environment, superior customer service skills comfortable working independently and manage complex, sensitive, and confidential information. 

  • An effective communicator; both verbally and in writing. 

  • Advanced skills in project management software (i.e. Smartsheet, BaseCamp, Team Dynamix), Microsoft Office Suite computer skills which entails word-processing, spreadsheet, database, presentation and calendar software programs.

While performing the duties of this Job, the
employee is regularly required to sit. The employee is occasionally required to stand;walk and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds.
