Learning Systems Administrator
The California State University, Office of the Chancellor, is seeking a Learning Systems Administrator to to be responsible for providing support to all employees using the CSU's systemwide Learning Management Systems (LMS). This position serves as the primary technical and functional contact for several critical systemwide learning and development applications, particularly the systemwide LMS.
Responsibilities
Under the direction of the Learning Systems Manager, the Learning Systems Administrator will:
LMS ADMINISTRATION
Administer the use of our centrally provided LMS to the 23 CSU campuses, the Chancellor's Office, Trustees and 90 auxiliary organizations. Operate as the main resource for campus constituents by facilitating the following services:
- Support systemwide campus utilization of CSU's Learning Management Systems (LMS)

In conjunction with Learning Systems Manager, work to identify campus or end user system needs and develop a roadmap for implementation.

Assist with testing to deliver campus system functionality to over 80,000 end users at our 24 locations including 90 auxiliary organizations.

Facilitate the collaboration between campus IT and various campus departments to develop and implement LMS enhancements and upgrades.

Assign/Administer courses in the system to campuses as requested.

Assist with testing for system functionality, ongoing upgrades and campus implementations.

Implement and maintain 3rd party integration with multiple campus LMS systems
-
Execute migration of learning management systems and training data for campuses.

Maintain content by 3rd party courseware providers and custom content developed in house or by campuses
-
Work in collaboration with Learning Systems Manager on new training systems, software, automation upgrades and overall efficiencies within LMS.

Track content updates and course structure enhancements from content vendors.
CUSTOMER SUPPORT
-
Provide exceptional and timely customer support and problem resolution to end users as they occur.

Maintain LMS ticketing system and monitor the resolution and escalation process.

Assist campus LMS administrators with assignment requirements, end user requests, ILT design and content recommendations.

Develop and organize training manuals, online training, and other educational materials for LMS training administrators and end users.

Create marketing materials for systemwide use to promote LMS and professional development content (online learning, books and videos).

Facilitate requests from campuses with vendors to quickly resolve issues by leveraging vendor chat and support channels

Utilize wikis, blog, customer communities to stay abreast of LMS releases and documentation campuses and end users
REPORTING/ANALYTICS

Train and provide campus support in running reports to meet compliance requirements and employee development goals

Collaborate with campuses in building custom reports and dashboards
-
Oversee data integrity on a systemwide level and ensure training and user data is continually validated though reports.

Work with Learning Systems Manager to create compliance reports to be delivered to high level officials throughout the CSU
-
Analyze reports on system access, training utilization, and completion rates by campus; gather and research requirements for LMS related projects and new courses/training launches; research and stay current on updates and system enhancement to the LMS.
TRAINING/PROGRAM FACILITATION

Organize and coordinate key training sessions via CSU's LMS for other units on campus.

Deliver ILT, webcasts, virtual conferences and online learning related to assigned projects.

Coordinate meetings related to campus training needs, learning management system functionality and content usage.

Create training materials and use web based conferencing to train campuses administrators on features of LMS
-
Organize and maintain systemwide documentation on LMS processes and standards
INSTRUCTIONAL DESIGN SUPPORT
-
Maintains online curriculum components to be delivered on CSU's learning management system.
-
Conducts Quality Assurance (QA) testing within LMS to validate online learning content will operate effectively on the CSU platform.

Partners with campus instructional designers and provide feedback on course functionality from navigation to recording course completion from an end user¿s perspective

Provide campuses with tools to leverage technology to improve professional development in an online environment.

Assist other members of the department with curriculum design tasks such as creating templates, researching materials, finding visuals (images, audio, video) and proofreading.

Troubleshoots eLearning courseware and tracks issues within LMS
-
Keeps abreast of technology changes and software updates to keep courseware operating effectively within the LMS
OTHER DUTIES
-
Assist systemwide HR with course assignments and reporting for MPPs related to pending investigations or audits.

Provide webcast support and troubleshooting calls on behalf of Executive Producer.

Act as lead customer service support for the department and attend to department emails, main phone line and answer general questions and/or direct calls to the appropriate department team member.

Responsible for keeping content up to date on department SharePoint site.
Qualifications
This position requires:
-
A Bachelor's degree in business, human resources, or a related field; or equivalent combination of education and work experience is required
-
A minimum of five years' experience in an administrative role to include two years' experience in training or training-related field

Familiarity with principles and methods of learning systems and/or training design
-
Experience administrating, configuring, and troubleshooting learning management systems
-
Ability to identify, analyze, and coordinate plans for development of web-based training resources including FAQs, help articles, and training videos
-
Experience that demonstrates knowledge, understanding, and application of administrative support skills, methods, and procedures
-
Experience with eLearning software integration with a LMS (SCORM / AICC).

Strong proficiency in Microsoft Office Word, PowerPoint, Excel, SharePoint

Experience with measurement of training outcomes reports
-
Ability to work in complex higher education environment and coordinate multiple tasks simultaneously and prioritize them appropriately

Effective planning, time management, problem solving, and organizational skills

Ability to explain instructions, policies, and procedures and to present findings and conclusions clearly and concisely

PREFERRED SKILLS:
-
Background in instructional design, information technology, educational technology or related field

Prior LMS experience in a support role within higher education.

Experience with the SumTotal LMS and Skillsoft products

HTML experience a plus
-
Adobe Creative Suite (specifically Photoshop, InDesign, Illustrator, Premiere)

Experience with LMS audit logs and reporting tools

Advanced knowledge of educational technology platforms

Knowledge of building dashboards, reports and creating analytics for compliance requirements

Strong knowledge of instructional design principles and practices to include: learning theories, interactive training and learning design, e-learning design principles, instructor-led training and evaluation methods

Experience working with accessibility tools and understanding of universal design (UDL) principles and web accessibility standards (e.g., Section 508)
-
Knowledge of current practices related to educational technology, instructional innovation, academic computing, educational media, multimedia, and online learning.

Experience working with HR data (specifically from PeopleSoft)
