Database Analyst

The Data Analyst (DA) receives, processes and analyzes requests for data for the University Graduate School (UGS). The DA is responsible for the design and development of reports and queries using data gathered from a variety of institutional databases, files and tables including student applications, admissions, admitted student records, financial aid, course enrollments, and degree production. The DA also oversees a Graduate Tracking Database from which reports regarding student success are generated. The DA collaborates with personnel university-wide to accomplish various projects. The DA provides training and data support to UGS staff and to graduate departments for the graduate application system and other reports.

The DA produces standard reports and responds to new requests for data extraction, reports or tables which require advanced knowledge of the data contained in institutional databases, files and tables and has familiarity with various forms of data retrieval and manipulation. DA must be able to use IU Information Environment (IUIE), Student information System (SIS) and other university systems, as well as other tools for accessing the data warehouse.

The DA collaborates and coordinates with UGS staff and other university units, such as University Institutional Research and Reporting, to accomplish the goals of the position. The DA employs their existing technical expertise and learns new tools to assist in completing these projects. The DA also trains UGS personnel in areas related to the DAs technical expertise, as well as maintains shared folders of reports (IUIE and others) to be used by UGS personnel. The DA is the primary point of contact between the UGS and external data groups and resources, such as the AAU Data Exchange (AAUDE), Council of Graduate Schools, and Academic Analytics.

The DA designs and manages an extensive Graduate Tracking Database of graduate student data, some of which is not available via SIS. Selection of data and definition of data fields must be such that the end product is usable by graduate departments, university administration, and as an aid in producing reports for outside agencies. The DA also designs, develops and updates local databases as needed within UGS.

The DA retrieves data and ensures accuracy and comparability across years for annual recurrent external reports such as the CGS/GRE Survey of Graduate Enrollment, AAUDE, NSF and Peterson’s Guide. The DA assists University Research and Reporting personnel with the graduate portion of their data needs and also provides data for internal and external surveys including surveying current and former students.

The DA creates data extracts, and serves as a point of contact for graduate application data, as well as provides training to graduate departments for graduate application reports. The DA also provides data extracts for import into OnBase.

REQUIRED: Bachelor’s degree in an analytical field and two years of technical experience with database and information retrieval technology including tools such as SQL, Microsoft Access, and Microsoft Excel. Experience working with complex datasets.

Combinations of related education and experience may be considered.

Thorough understanding of graduate education and related issues. Expertise in data capture, evaluation, and presentation. Ability to interact successfully with a variety of individuals at all levels in the university and to establish priorities among their needs. Ability to quickly learn new technical tools as needed by various projects. Evidence of ability to collaborate with different units and departments.

Expertise or familiarity with Indiana University data systems.
