Located on a bucolic 515-acre campus in Marin County, San Domenico is California's oldest independent school. Purpose Statement

The Database Manager plays a key role in the administration and day-to-day operations of the school. They support the work of the administration, the faculty, students, and parents, by providing the yearly set-up, maintenance, training, and researching/implementing best practices of student records in all areas. In addition, they will consult on and maintain other technology systems in the school such as database integrations, educational apps, classroom equipment, and providing communication with teachers in these areas. Review systems analysis techniques and procedures, including consulting with users, to determine hardware, software or system functional specifications.  Design, develop, document, analyze, create, test or modify computer systems or programs, including prototypes, based on and related to user or system design specification. This exempt position reports to the Director of Information Technology.

Responsibilities of a Database Manager

  • Oversee all aspects of our Student Information System (SIS) Veracross and Learning Management Systems (LMS): Canvas and additional systems as needed
  • Create, facilitate, and monitor entry and maintenance of academic information including courses, activities, schedules, grades, etc.
  • Support the Academic Leadership Team with annual tasks such as academic year calendar set-up, end-of-period updates, scheduling, and the preparation and publishing of report cards and transcripts
  • Support administrators and staff in increasing the use of our SIS/LMS including conduct, learning profiles, and official notes
  • Adjust student records as needed, including but not limited to adjusting family relationships, updating contact information, editing enrollment years
  • Work with Enrollment Office to move new students into SIS/LMS
  • Create queries and lists to be used by employees as needed
  • Support the community with user account creation and access in conjunction with the technology team
  • Contribute to the creation and maintenance of the School’s database documentation
  • Support users and the transition of data between systems including in our integrated Blackbaud databases, Finalsite, Magnus, Intacct, future implementations
  • Understand the data flow between data systems and applications and work with the vendors and end-users to troubleshoot integration issues
  • Maintain the integrity of the database systems by completing regular maintenance
  • Set up labels, reports, and exports for employees and parents
  • Coordinate updates to constituent data in multiple systems
  • Maintain relationships with customer service for school systems as needed
  • Identifies, defines, and assesses the properties and specifications necessary for the database management system to meet current and future needs of the organization.
  • Defines a logical database structure for application development based on the organizational structure of the company.
    • Defines and executes procedures for testing and implementing new applications in the database environment.
    • Develops and implements policies and procedures related to data security and integrity.
    • Develops, implements, and monitors access policies, limiting database access on a need-related basis.
    • Develops, maintains, and controls additional corporate data libraries specific to the organization, industry, or locality.
  • Assesses current and projected database performance, and recommends changes and enhancements
  • Drafts training documentation and guidelines for end users
  • Resolves data conflicts for matters such as naming conventions, data privacy, and data ownership
  • Occasionally, provide daily technology customer support duties; including, but not limited to answering tech support submitted tickets
  • Perform related duties as assigned by supervisor
  • Maintain compliance with all company policies and procedures

Required Qualifications/Educational Background and/or Experience

  • Minimum of a bachelor’s degree or equivalent experience
  • Ability to individually manage and complete major projects
  • Experience as a registrar in a school setting or database manager; experience with Blackbaud and Veracross databases desirable
  • High proficiency with technology including Google Apps, experience with integration of SIS/LMS platforms (Canvas)
  • Strong orientation to customer service
  • Strong written and oral communication, attention to detail, problem-solving ability, and organizational skills
  • Interest in creating greater efficiencies in data systems
  • Ability to formulate and enforce business practices to create uniformity and consistency of data
  • Commitment to detail in multiple systems to keep data integrity within and across systems
  • Follow-through with immediate response and completion of tasks
  • Proven ability to attend to multiple tasks and be able to work closely together with others, including faculty, staff and parents
  • A collaborative, team player 
  • Some daily technology customer support duties may apply; including, but not limited to answering tech support-submitted tickets

Compensation

Salary range is $90,000 - $110,000 annually, based on skill set and experience. This position also offers an excellent benefits package, including: medical, dental, AD&D, Life, 403(b) plan with match, daily lunch on days worked.
