Serve as the Registrar and administrative assistant to the Assistant Head of School. Execute administrative functions and maintain accurate and confidential records. Oversee the use of PowerSchool as the main learning management system and academic recordkeeping. This position will report to the Assistant Head of School.

The ideal candidate should have excellent oral and written communication skills and be able to organize their work using electronic tools and office equipment. Area of Responsibility:  Oversee all Registrar functions and serve as the Online School for Girls contact. Perform administrative and office support and manage day-to-day coordination of events under the direction of the Assistant Head of School.

 

  • Maintain all student data in PowerSchool including extract from InfoSnap
  • Schedule courses, teachers, students, classrooms and manage schedule changes
  • Finalize grades (midterm and semester) and incomplete grades as needed in PowerSchool
  • Process all Transcript requests and upload transfer transcripts once "official" nature is confirmed
  • Process district residency reports in the fall and maintain throughout the year
  • Add and assign teachers in Powerschool for long-term substitutions
  • Schedule Winterim Courses and create the final catalog
  • Manage Online School for Girls registration process and act as a liaison with OSG and students
  • Provide materials requested by students relating to academic programs
  • Maintains transcript approval and release forms
  • Answer and direct phone calls, organize and schedule appointments, plan meetings and take minutes
  • Assist in the preparation of regularly scheduled reports and filing system
  • Update and maintain office policies and procedures
  • Act as the point of contact for internal and external visitors
  • Liaise with other administrative assistants to handle requests and queries as needed
  • Submit and reconcile expense reports, and other duties as assigned
