In this full-time (12 month) role, the Database Manager reports to the Director of Advancement, and is an integral member of the fundraising and communications teams. The Database Manager is responsible for the Raiser’s Edge and the school website databases and gift administration. The position also provides general support for mailings, events, annual and capital campaign administration, Parents’ Association and additional advancement activities which may arise.
The School
New Canaan Country School is an independent, coeducational day school, serving approximately 635 students in grades Pre-K through 9. Our diverse community of students and parents come from many towns throughout Fairfield and Westchester counties. Founded in 1916, the school is located on a 75-acre campus with six major buildings, five playing fields and a 35-acre nature preserve with a low ropes challenge course. Since 2015, Dr. Robert P. Macrae has served as the school’s fifth head of school. Throughout its history, Country School has emphasized the value of childhood and the role of experience in learning. For nearly 100 years, teachers have blended an outstanding academic program with an appreciation for patience, simplicity and the power of imagination. Having just celebrated its centennial and now undergoing reaccreditation, New Canaan Country School is ideally positioned to re-examine its vision for the next decade, including a new long-range strategic plan and a capital campaign. 
 
The Position
In this full-time (12 month) role, the Database Manager reports to the Director of Advancement, and is an integral member of the fundraising and communications teams. The Database Manager is responsible for the Raiser’s Edge and the school website databases and gift administration. The position also provides general support for mailings, events, annual and capital campaign administration, Parents’ Association and additional advancement activities which may arise.
 
Key Functions
 
Database Management:
  • Manage all data input in Raiser’s Edge and monitor to ensure consistency, accuracy, integrity, confidentiality and efficiency of data
  • Create/import new donor records
  • Manage coordination between the Raiser’s Edge and the website databases
  • Input all address changes and other constituent information
  • Manage and regularly clean up data, including addressee salutations, business information, duplicate information, relationships, lost addresses, deceased constituents, etc.
  • Create, clean up and maintain donor files, including hard copy and electronic filing
  • Create templates, queries, reports and exports when needed
  • Support advancement staff in their data needs, including running reports, creating mailing lists, setting up appeals, etc.
  • Generate lists for the school directory
Gift Entry:
  • Manage Annual Fund cash, check, credit card, stock and online donations
  • Process all gifts and prepare gift receipts; scan and file all tax letters
  • Oversee matching gift processing and follow-up
  • Prepare gift and pledge acknowledgement letters in a timely manner
  • Proofread donor letters for accuracy
  • Reconcile gifts with the business office weekly, at month-end and year-end
  • Prepare appeal letters and pledge reminders
  • Run donor lists for annual report
 
Advancement Support:
  • Assist advancement staff with Annual Fund mailings, major donor updates, event invitations, other mailings and meeting packets
  • Support special events execution
  • Assist the Director of Advancement/Campaign Manager in preparation of PowerPoint presentations
  • Assist the Director of Alumni Affairs with tracking lost constituents, maintaining Notes on activities and updating information
  • Support the Director of Research & Data Analytics in the identification of prospects

 

Parents’ Association Support:
  • Assist PA volunteers by generating lists or labels for annual benefit and other events
  • Assist with benefit gift entry, acknowledgement letters and reporting
  • Assist with use of auction software, if needed

 

Qualifications:
  • Bachelor degree and background in relational databases
  • Experience in Raiser's Edge preferred
  • Proficiency in Excel, Word, PowerPoint and Google Docs
  • Strong writing and proofreading skills
  • Excellent organizational and critical thinking skills
  • Strong attention to detail; commitment to data accuracy, integrity and confidentiality
  • Effective time management; ability to set/fulfill priorities, multi-task and meet deadlines
  • Highly motivated and able to work both independently and collaboratively as part of a team
  • Independent school experience preferred
  • Flexibility to work extra hours for development-related weekends and evening programs and special events
This position is a full-time position with benefits. Some evening and weekend work as needed.
