Summary:
The Registrar is an integral member of the academic support team who supports the school’s overall goals by ensuring the accuracy, integrity and security of all academic records of current and former students. In support of admissions and the school as a whole, the Registrar facilitates effective student enrollment and maintains a variety of files, documents and student records for the purpose of documenting and/or providing reliable information relative to student records. He/she maintains school’s student information system and prepares and maintains permanent student records in order to ensure compliance with financial, legal, state or federal requirements.
Responsibilities:
Oversees, manages and maintains all aspects of student record- keeping including registrar and admissions office modules of Blackbaud’s Education Edge data base system as well as school’s internal manual file system.
Functions include:
a. Records
i. Maintains all internal student records
ii. Maintains and ensures ongoing updates to data base
iii. Maintains students’ SST files and psychological testing files
iv. Ensures accuracy of attendance and testing records
v. Work with principal to facilitate the report card process each trimester including uploading, printing and distribution process
vi. Supports coordination of standardized testing, scoring and filing process
vii. Collects and maintains legal custody documents
viii. Coordinates end of your record update with teachers and data base update including annual end-of-year promotion
ix. Maintains historical records (graduates and former students) and student archives
x. Purges and promotes manual student support services files annually
b. Admissions and Enrollment:
i. Oversees and manages Admissions Office module of database
ii. Support admissions and enrollment process for new students including correspondence with prospective parents, testing of applicants, processing of applications, etc
iii. Issues and monitors enrollment contracts working closely with business office personnel
iv. Provides statistical reports, data charts and admissions correspondence
v. Leads annual re-enrollment process for current students - issues and monitors re-enrollment contracts working closely with business office personnel
vi. Coordinates with principal, teachers, and counselors so that recommendation forms are filled out properly in a timely manner
vii. Maintains information regarding students who are applying in and out of The Davis Academy and responds to transcript requests upon transition or graduation of students
viii. Annually creates online Davis Directory and class lists
ix. Interacts with current and prospective families as needed
c. Provides other administrative support as needed.
Qualifications:
Bachelor’s degree • Minimum three years’ experience in a similar or equivalent position; school experience preferred • Mature technological skills including sophisticated knowledge of online communications, databases and computers including specifically ability to construct, modify and troubleshoot queries, export data and merge data; experience with Blackbaud systems preferred • Strong organizational and communication skills • Independent worker with initiative and attention to detail • Team player with ability to multi-task
