Westridge School is an independent day school for girls located in Pasadena, California. Westridge School is seeking a Registrar to serve as the custodian of student information and records for current students, incoming students, and alumnae. The ideal candidate is data-driven with a keen eye for detail as recordkeeper for all grade levels. The Registrar will provide information as necessary for various departments, including but not limited to Technology, Advancement, College Counseling, and Admissions. This position reports to the Assistant Head of School and will work closely with students, parents, faculty, and administration.

Specific Responsibilities Include:

  • ·         Coordinates with Admissions to ensure timely and accurate registration of new students and graduation/withdrawal of departing students and appropriate transfer of records.
  • ·         Coordinate with division and academic leadership, advisors, parents, and students to manage and communicate student enrollment, including compliance with prerequisites and course schedules.
  • ·         Create and maintain master class schedule.
  • ·         Coordinate with division and academic leadership to manage and communicate course and faculty room assignments.
  • ·         Coordinate with division and academic leadership including College Counseling, advisors, parents, and students to ensure each student’s compliance and progress against graduation requirements.
  • ·         Collaborate with College Counseling on annual data-driven requests, including but not limited to: National Merit applications; creating first quarter grade reports for seniors, calculate CalGrant GPA’s and submit verification forms.
  • ·         Compile and manage student narratives, grades, and transcripts including responsibility for managing and supporting Westridge’s electronic gradebook system(s) with a strong emphasis on accuracy across all systems.
  • ·         Maintain current and accurate auditable student records, both physical and electronic.
  • ·         Record and maintain correspondence of student records, including but not limited to cumulative folders, demographics, diplomas, and transcripts.
  • ·         Provide accurate reporting in a timely manner.
  • ·         Process alumnae requests, including exam results and transcripts.
  • ·         Process and transmit requests for student information, including student transcripts for colleges and enrichment programs, transfer information, etc.
  • ·         Manage standardized, AP, PSAT, and any additional college-related testing and associated record keeping.
  • ·         Propose and implement changes to improve accuracy and efficiency of records creation and maintenance.
  • ·         Identify improvements for student information storage.
  • ·         Write, review, and edit registrar policies and procedures under the direction of the Assistant Head of School.

Additional Requirements:

  • ·         Bachelor’s Degree or equivalent experience preferred.
  • ·         3-5 years experience managing complex data systems within a school setting preferred.
  • ·         Ability to problem-solve and navigate complex systems.
  • ·         Demonstrated experience managing data integrity and synchronization across multiple systems and platforms.
  • ·         Excellent project management and organizational skills.
  • ·         Ability to embrace a collaborative work style and interact in a positive and proactive manner with all school constituencies.
  • ·         Strong interpersonal, written, and oral communication skills.
  • ·         Strong administrative skills and proficiency in Microsoft Office Suite (Word, Excel, and Outlook), database management, and scheduling applications required.
  • ·         Familiarity and experience with FERPA regulations.
  • ·         Personable with a positive customer service mindset.
  • ·         Demonstrated ability to exercise good judgement and maintain confidentiality.
  • ·         Criminal background check and clearance required.

Schedule

This is a full-time non-exempt position with the flexibility to work evenings and weekends when necessary.
