The Director of Database Information Systems helps to oversee the technology efforts of the Registrar Office & Advancement Office utilizing a myriad of systems, reporting metrics and facilitating the administrative maintenance of records.  This position also supervises the Database Administrator.  The diverse role requires a strong independent work ethic as well as the ability to work in dynamic teams on a project-by-project basis as well as proven managerial skills. The Director of Database Information Systems will report to the Director of Windward Fund and Parent Relations. 

Responsibilities:

  • Responsible for supervising the Database Administrator and helping to coordinate and manage projects as defined by Director of the Windward Fund and Parent Relations as well as Division Directors
  • Responsible for the support of Whipple Hill/CORE/OnRecord configuration to support student information, scheduling, school year configuration, courses and sections, drop/adds, and end of year transitions.
  • Responsible for overseeing the creation of specialty reports from Whipple Hill/CORE/OnRecord, including Back to School Night letters, Parent Conference letters and any additional reports required.
  • Responsible for overseeing the grading process at all grading periods including progress reporting periods, which included communications to faculty, department chairs, second readers and parents/students, grade/comment processing, as well as the grade posting process as well as review prior to grades being distributed to Division Directors, Deans and Parents
  • Generates grading reports for school administrators prior to grades being posted to students and parents
  • Helps to facilitate and make recommendations on how to best integrate database systems for efficient transfer of data and helping to maintain data integrity across all platforms and information systems, including the direct integration of Raiser’s Edge and Whipple Hill/CORE
  • Oversees all data import/exports for all third-party systems.
  • Creates and maintains Blackbaud system users and accounts for Whipple Hill/CORE/OnRecord, Financial Edge as well as the hosting users.
  • Oversees the enrollment of new students as well as the re-enrollment of existing student records in the student information system.
  • Manages the process of database updates and faculty/staff record updates.
  • Supports and ensures proper coverage with Registrar/Financial Aid Coordinator with various duties including day-to-day operations.
  • Coordinates annual online student re-enrollment.
  • Supports the Registrar Team with assigned reports.
  • Manages and monitors the integration of Whipple Hill/CORE/OnRecord with any third party system such as Haiku Learning/PowerSchool  

 Qualifications:

  • Degree in student services, educational administration, subject area or a related field.
  • Preferred – 3 years of direct experience in an independent school setting; proven record of successful management experience and integration into in a people-oriented environment; demonstrated understanding of the application of technology to deliver Registration and Database services.
  • Strong verbal and written communication skills.
  • Superior organizational, time management and analytical skills.
  • Problem solving, analysis and judgment skills.
  • High proficiency in MS Office products, proficiency in databases, preferably Blackbaud, Whipple Hill, OnRecord/OnCampus, Raisers Edge, SchoolAdmin and/or Crystal Reports.
