Position Summary:

The Director of Technology for Admissions provides leadership, technology administration, and project management to support recruitment, application and admission activities. The position effectively and efficiently uses Slate, the University’s CRM for all admission efforts, Banner, the University’s primary admission and student records system, as well as complementary reporting technologies (e.g. Discoverer, Cognos, MS Access). The position works collaboratively with the Office of University Admission, Enrollment Management, Financial Assistance and other University units to ensure the high-quality execution of technology supported business processes, data management and reporting as related to the admission cycle. The position is responsible for providing technical direction for, and support of, the staff of the Office of University Admission. This position develops, maintains and optimizes the use of information for all levels of staff. This position serves as the primary contact for problem resolution for all information systems, both hardware and software related.

Duties and Responsibilities:
  • Provide leadership and primary support for all processing related to the Admissions CRM Technolutions Slate, the Ellucian Banner Admission module, Perceptive Data Transfer, Adobe Experience Manager (AEM), and the Common Application. Records documentation for all systems and processes.
  • Oversees the management and maintenance of all electronic records within Slate and Banner. Creates and executes data audits to ensure data integrity. Works with IT to ensure accuracy of data flow from Slate to Banner, especially bio-demographic information, test scores and decision data. Manages payment gateway and creation of student records in Banner.
  • Supports the Admission Communications Plan by providing requested data for mailings and targeted email to prospective students. Engages with the Communication team to offer creative solutions for messaging and delivery of content to attract the attention of prospective students.
  • Partners with colleges and departments for all mailing/email communication to applicant, admitted and enrolled students. Act as primary liaison on technical aspects of all special programs and scholarships managed in Slate (ex. Presidential Scholarship program).
  • Develops summary reports for strategic level analysis. Ensures the accuracy of reports and responds to internal and external surveys.
  • Updates admission webpage content as well as Applicant Status Page and MyNova content as an administrator. Actively participates in Communication Committee meetings.
  • Interacts with UNIT on department related problems and troubleshoots hardware and software problems for all staff. Recommends modifications that eliminate recurring problems as well as work with UNIT to resolve problems. Acts as a resource on the Banner Coordination Committee to provide technical feasibility input as well as assisting in the evaluation of new University hardware/software components and their impact on Admission information systems.
  • Trains and supports users on the effective use of various Admission systems. Establishes and maintains record of minimum technical competencies for admission staff and ensures that they are supported in the development and maintenance of such skills.
  • Researches and participates in the selection and implementation of new hardware and software related to OUA work processes and strategic objectives.
  • Participates in Enrollment Planning Service and attends OUA staff meetings, manager meetings and retreats.
  • Researches and coordinates the application of new and emerging technologies for possible use in admission, enrollment management and all of Villanova University. Identifies future technical needs of the admission programs. Maintains general knowledge of work processes across enrollment management (EM) in order to serve as back-up support for other EM departments and promote efficiency.
  • Perform other duties and assist with projects as assigned.
Minimum Qualifications:
  • Bachelor’s degree in management information systems or related field.
  • 3-5 years of experience in information technology and/or systems.
  • 3-5 years of experience in admissions or other Enrollment Management area of a 
    University.
  • Experience in working with hardware and software applications.
Preferred Qualifications:
  • Master’s degree preferred.
  • 1-2 years of experience in web development
  • Knowledge of Technolutions Slate CRM is highly desirable.
  • Knowledge of BANNER Admission/Student is highly desirable.
  • Knowledge of UNIX based relational database, specifically Oracle.
    Basic PC hardware (PC’s, printers, peripherals) and PC application (Microsoft Office Suite) familiarity.
  • Knowledge of database query language (SQL).
  • Knowledge of statistical analysis and reporting.
  • General command, at the conceptual and detail level, of information flow cycles in a business environment.
